CLIENT PROFILE
A large NBFC with a diversified retail loan portfolio operating pan-India, managing accounts across the full delinquency lifecycle from early-stage reminders through legal and post-write-off recovery notices.
BUSINESS CONTEXT
As the portfolio scaled across states, notice issuance remained a largely manual, branch-led activity, with each branch responsible for drafting, printing, and dispatching borrower notices for its own accounts.
This created wide variation in turnaround time, template consistency, and delivery tracking, while legal and compliance teams increasingly needed reliable, centralized documentation to support recovery and legal proceedings.
CHALLENGE
- Notice drafting and dispatch were handled locally at the branch level, with digital delivery covering only a minority of the portfolio and the rest dependent on physical post.
- There was no centralized system to confirm whether a notice had actually been generated, dispatched, delivered, or acknowledged by the borrower.
- Failed deliveries – returned mail, invalid addresses, undelivered digital messages – were not systematically re-triggered, leaving gaps in the borrower communication record.
- Legal and compliance teams struggled to produce a consolidated, timestamped notice history when required for recovery proceedings or regulatory review.
CLEARDU PLATFORM IMPLEMENTED
Primary platform: Notifi X
Notifi X was implemented as the primary platform because the core problem – notice generation, multi-channel dispatch, delivery tracking, and audit trail creation – sits squarely within its purpose as ClearDu’s digital and physical notice management platform.
DETAILED SOFTWARE IMPLEMENTATION
- Notice templates were standardized and digitized for each stage of the delinquency lifecycle – early reminder, formal demand, and legal notices – in multiple regional languages.
- Automated DPD- and event-based triggers were configured so that notices generate and dispatch without manual initiation once an account crosses a defined threshold or milestone.
- Multi-channel dispatch was enabled across WhatsApp, SMS, email, and physical post, with India Post integration providing live tracking for physical dispatch.
- Delivery and acknowledgement status – sent, delivered, read, returned – is captured centrally for every channel, feeding a failed-delivery workflow that automatically queues re-dispatch through an alternate channel.
- Role-based approval workflows were configured for legal-stage notices requiring sign-off before dispatch, and a centralized dashboard was built for operations, legal, and compliance teams to track notice status by portfolio segment.
PROCESS TRANSFORMATION
Before: Before Notifi X, notice generation and dispatch was branch-led and manual, with no centralized tracking of delivery status and limited digital reach across the portfolio.
After: After implementation, notices are generated and dispatched automatically on DPD or event triggers across digital and physical channels, with delivery status and borrower response captured centrally and available on demand for legal and compliance use.
- Operations teams no longer manage manual dispatch, freeing time for exception handling and follow-up.
- Legal and recovery teams can retrieve a complete, timestamped notice history for any account in seconds.
- Compliance teams gained a consolidated audit trail supporting NPA classification, repossession, and post-sale recovery documentation.
PLATFORM CAPABILITIES USED
- Automated DPD- and event-based notice triggers
- Multilingual, template-based communication
- Digital delivery via WhatsApp, SMS, and email
- Physical notice dispatch with India Post integration
- Delivery and acknowledgement tracking
- Failed-delivery detection and re-dispatch workflows
- Role-based approvals for legal-stage notices
- Centralized audit trail and notice status dashboards
KEY RESULTS
- 3X faster notice processing and dispatch coordination compared to the prior manual process
- 74% digital notice penetration, up from 27%
- 27% higher recovery from served notices, aided by tracking and response capture
- 36% reduction in cost per notice through lower logistics and manpower dependency
- 100% centralized, audit-ready notice trail across digital and physical channels
IMPLEMENTATION CONSIDERATIONS AND CONTROLS
- Borrower contact data was validated and deduplicated during onboarding to reduce failed-delivery incidents.
- Channel governance rules ensured legal-stage notices followed required communication and consent protocols.
- Role-based approvals were built in for notices with legal or regulatory significance.
- Failed-delivery and non-response cases were routed to an exception queue for manual review rather than silently dropped.
CONCLUSION
By centralizing notice generation, multi-channel dispatch, and delivery tracking on Notifi X, the NBFC replaced a fragmented, branch-led process with a standardized, auditable system spanning the entire recovery lifecycle. The result was faster processing, materially higher digital reach, and a compliance-ready communication record that strengthens both recovery efficiency and audit readiness.
